Booking Terms & Conditions

The short version: pay a deposit to hold your date, confirm numbers a fortnight before, and we turn up and cook. The rest is the detail behind that.

1. Who you are contracting with

These terms are between you (“the Client”) and Pig & Pickle Catering, of Cambridge, Cambridgeshire (“we”, “us”).

A contract exists once we have confirmed your booking in writing and received your deposit. Quotes and estimates given on this website, by email or over the phone are not contracts and may be revised until that point.

2. Quotes and prices

  • The figure produced by the booking form is an estimate based on the information you give us. It is not a fixed quotation.
  • Prices are per head and assume the guest numbers you specify. Menu minimums apply and are shown against each menu.
  • Travel within approximately 60 miles of Cambridge is included. Beyond that, travel is quoted separately and confirmed before you pay anything.
  • Prices are held for 30 days from the date of quotation. After that, they may be revised to reflect ingredient costs.
  • Where a price is shown in a currency other than pounds sterling, the conversion is indicative. The invoiced amount is definitive.

3. Deposit and payment

  • A deposit of 25% of the estimated total (minimum £150) is required to hold your date. Your date is not reserved until it is received.
  • The balance is due 14 days before the event, calculated on the final confirmed guest numbers.
  • Where you choose to be invoiced, payment of the deposit is due within 7 days and your date is held for that period while payment is arranged.
  • We accept UK bank transfer and, by prior arrangement, corporate purchase orders.
  • Late payment of the balance may, at our discretion, be treated as a cancellation under clause 5.

4. Final numbers and menu changes

Final guest numbers must be confirmed no later than 14 days before the event. This figure is what you are charged for. Numbers may be increased after this point subject to our agreement, but they cannot be reduced — the food is already bought.

Menu changes requested inside 14 days can usually be accommodated but may carry an additional charge where ingredients have already been ordered.

5. Cancellation by you

Cancellations must be made in writing to info@pigandpicklecatering.co.uk. The following charges apply, calculated on the total agreed price:

Deposits are non-refundable within 28 days of the event. Where we are able to re-book the date, we will refund what we reasonably can.

If you postpone rather than cancel, we will do our best to transfer your deposit to a new date within twelve months, subject to availability.

6. Cancellation by us

We will only cancel in genuinely exceptional circumstances — serious illness, bereavement, vehicle failure or an event beyond our reasonable control. In that case we will refund every penny you have paid and, where we can, help you find an alternative caterer. Our liability in these circumstances is limited to that refund.

7. What we need from you on the day

  • A reasonably level, firm area of approximately 5m × 3m for the cooking equipment, with vehicle access for a van and trailer.
  • Access to the site at the agreed time. Hog roasts typically require access from early morning.
  • Any venue permissions, licences or risk assessments the venue requires. We will supply our insurance and hygiene certificates on request.
  • Somewhere safe to work. We reserve the right to stop service where conditions are genuinely unsafe for our team, without refund.

We bring our own gas, power, refrigeration, lighting, service equipment and waste disposal unless agreed otherwise in writing.

8. Allergens and dietary requirements

Tell us about allergies and dietary requirements when you book, and confirm them again with your final numbers. We take them seriously, prepare and serve separately, and label clearly.

However, we cook in a working kitchen and on open sites where nuts, gluten, dairy, egg, soya, celery, mustard, sesame, molluscs, crustaceans, fish, lupin and sulphites are present. We cannot guarantee the total absence of any allergen. Guests with severe allergies should speak to the chef on the day.

We cannot be held responsible for reactions caused by requirements that were not disclosed to us in advance.

9. Equipment, damage and leftovers

  • All equipment, crockery, glassware and linen remain our property. You are responsible for loss or damage caused by your guests, charged at replacement cost.
  • For food safety reasons we cannot leave hot food behind after service. Where you wish to keep leftovers, you do so at your own risk and we accept no liability for food consumed after we have left.

10. Liability

We maintain public liability insurance and all staff hold current food hygiene certification.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else which cannot legally be limited. Subject to that, our total liability arising from a booking is limited to the total price paid for that booking, and we are not liable for indirect or consequential loss.

11. Circumstances beyond our control

Neither party is liable for failure to perform caused by events outside their reasonable control, including severe weather, flooding, fire, road closures, industrial action, epidemic, or government restriction. We will always try to find a workable alternative before either party cancels.

12. Photography

We occasionally photograph our own food for our website and social media. We never photograph guests without permission, and if you would rather we did not take pictures at all, just say so when you book.

13. Complaints

If something is not right, tell us on the day so we can fix it there and then. Anything unresolved should be put in writing to info@pigandpicklecatering.co.uk within 14 days of the event, and Adam Skinner will respond personally within 14 days of receiving it.

14. Governing law

These terms are governed by the law of England and Wales, and both parties submit to the exclusive jurisdiction of its courts. Nothing here affects your statutory rights as a consumer.
